<aside> <img src="/icons/hammer_yellow.svg" alt="/icons/hammer_yellow.svg" width="40px" /> Description As the Co-Director of Operations for MAIA, you will assist me (Gatlen Culp) in a broad range of tasks integral to the organization's functionality and growth.
Physical Office — You will be in charge of the office environment, including maintenance, logistical organization, and ensuring a comfortable and efficient workspace for all members. You will also manage access to the office space.
Digital Organizational Tools — Create and maintain forms and record crucial to MAIA in AirTable (for Tables & Automations) and Notion (for Documents). Maintain the Slack which we use for coordination
Program Setup — Make and print the packets for AI Safety Fundamentals and other programs. I (Gatlen) made a tool for easily generating these packets. Before each cohort meets, you are expected to set up each meeting with food (delivery via GrubHub, managed by Annie from AISST, you only need to pick it up), lay out the packets, book the rooms, let in late participants (since the building requires an access card), and more.
Exec Team Opportunities — As the co-ops director, you will have the opportunity to participate in the executive board meetings and steer the future of MAIA.
Additional Projects — Improve the office in ways you envision. Improve our operational tools (MopMan on AirTable) and documentation (on Notion). We are also currently trying to configure all MAIA members on Amazon Web Services (AWS) so they have resources to train models for safety research. You may also coordinate workshops. There is a lot of flexibility here in determining/executing projects that would be beneficial to MAIA. You will also have access to some discretionary funding to use for MAIA.
In this position you have the chance to hone a variety of skills — communication, operations & project management, software development, hiring, management, and more.

Understanding Python, AirTable, or Notion in particular is a huge plus.

<aside> <img src="/icons/clock_blue.svg" alt="/icons/clock_blue.svg" width="40px" /> Hours For the most part, you get to determine your own hours but with a few deadline-driven tasks (ex: creating forms, adding members to Slack, sending emails, etc.) and a few time-specific physical labor tasks (ex: Setting up AISF meetings). So long as the office is operational and everyone has what they need, you’re good.
You will typically work a minimum of: 7 hours/week during AISF-season 3 hours/week off AISF-season
With up to: 40 hours/week at any point to implement new tools, office improvements, and other more long-term projects to improve MAIA. You get to choose when to do this, but it is semi-expected that you spend ~2 hours/week on these tasks.
AISF and member meetings typically start between Mon-Fri from 5pm to 7pm. You aren’t responsible for cleaning up the meeting, only setting it up.

****MAIA’s organizational hierarchy is pretty flat. While you don’t necessarily report to anyone, the director of MAIA may deem themselves in charge of your tasks and operations (though this tends not to happen). Annie Barnett of AISST is also semi-in-charge of your pay. As senior ops director, Gatlen may also ask you to work on some tasks and teach you how to use certain tools. You as junior ops director may also ask Gatlen to fill in for you.
